[Eg-oversight-board] Outreach business for next EOB meeting

Hi all,

I apologize for missing the last two EOB meetings. I fully expected to make
last week's meeting, but hit a bit of unexpected traffic on my back from an
earlier meeting.

The Outreach Committee has two items of business that I would like to
request be placed on the agenda for the August EOB Meeting.

FUNDING REQUEST
Last year, the Outreach Committee submitted a funding request shortly after
the conference to cover our activities for the year. I would like to submit
a similar funding request for the next year. The Outreach Committee
reviewed and approved this request at its June meeting.

For the ALA Conference, as previously discussed, we are not planning to do
a program at MidWinter next year because we get very low turnout and also
have trouble finding community members who attend and can present at the
conference. However, we are requesting an increase over last year's request
because we believe we need to budget for audo-visual equipment if we want
the program to be professional. We don't yet know what our program topic
will be next year, but many of the previous programs we've done have only
worked well if we are able to show off some of Evergreen's features. At
previous conferences, we have been fortunate that there is already a/v in
the room from a previous program that occurred in the same room. However,
we can't count on the equipment always being there and, as we found at in
Denver, will be penalized if we try to use our own.

We expect to have more shipping expenses than we did last year so that we
can move merchandise to and from a conference. Equinox covered the shipping
expenses this year (thank you Equinox!), but we will need to cover those
expenses next year out of community funds. The merchandise is now being
stored at MOBIUS.

Our merchandise request is down because we don't plan to introduce a new
t-shirt next year. We have plenty of stock leftover from previous years. We
may do another conference t-shirt this year that is prepaid.

Our printing expenses are lower because we used a new printer this year who
we believe did a great job and can be used again next year.

LOGO
Attached is the logo that received the most votes in the survey we sent to
the community last spring. It received 54.5 percent of votes from a total
of 135 responses. The logo designer, Sam Tribble, has sent us a package
with the image in several formats along with an option that can be used one
dark backgrounds.

Before we used it, I think we would need a vote from the EOB to use this
logo as our official round logo. We would continue to use the existing logo
when rectangular logos are needed.

If the EOB approves the use of this logo, we would also need to amend our
trademark so that this logo would be covered.

I can further discuss these agenda items at the next meetings, but, if you
have questions in the meantime, feel free to send them to me on the list.

Thank you!
Kathy
