[Evergreen-governance-l] Notice of Evergreen Foundation Committee Meeting; April 30, 2011 (Proposed Message to Evergreen Community)

Amy, 

I'm not sure a DIG report is necessary given it's already such a full agenda and we report regularly at the community meetings. However, if the Governance group would like a DIG report (and if I make it to the conference or can prevail on someone who is attending) we could probably give a short report. The really short version of the report goes something like this: "Yes we exist and are writing documentation. Here's a brief history of DIG. You too can help." If that sounds at all helpful in this context, let me know. 

It might make more sense to give a DIG report if the focus of the report were on how the new relationship between DIG and Governance will work, though I'm not sure I entirely understand how that relationship will be working myself yet. Does the copyright on any documentation we produce get assigned to this new entity? Will DIG participants have to be potentially-dues-paying members of the not-foundation-but-whatever-it-is-we're-calling-this in order to participate and/or hold a leadership position in DIG? To what extent will the governance board be micromanaging how DIG operates? There may be other questions to consider about the relationship between DIG and governance, but this is what comes to mind right away. Any thoughts on these issues or on whether we need a DIG report at this meeting?

I supposed the web team work can be reported under the Communications Committee. 

For the conference committee, would that be a report on how well the conference has gone and an introduction of the new conference (2012) masters?

Excellent. One thing I'd like to see added is a sentence about the protection of Evergreen assets provided by our membership with SFC. I think that's an important thing for people to understand right away (to reduce the 'why SFC and not a foundation' bubbles from popping up above everyone's heads.) 





And yes, I think we should stop using "foundation." I guess we all need to practice referring to our membership instead of our foundation....

Dear Evergreen Community Members, 

At the 2010 Evergreen Conference in Grand Rapids several of us were charged with moving forward with the idea of an Evergreen Foundation. We formed the interim Governance Committee and proceeded with finding a way to form a non-profit entity that would allow for community growth and cooperative efforts. 

The Committee will host an open meeting at the upcoming Evergreen Conference in Decatur, GA on Saturday, April 30, 2011 to give an account of our work during the past year. See agenda below. We are submitting documents for your review prior to this meeting. 

The Committee is set to sign an agreement with the Software Freedom Conservancy. The conservancy provides a non-profit home and infrastructure for open-source projects. Details of this agreement can be found at <link to SFC documents> 

The Committee has developed a Rules of Governance document. These skeletal rules will help us to move forward in a structured way and can be fleshed out as we move forward with a permanent structure. We are required to have a minimal set of rules for governance in order to take advantage of the services of the Software Freedom Conservancy. You can review the most recent version of the Evergreen Oversight Board Rules of Governance at <link to Governance documents>
