It looks like I was not subscribed to the Gg-oversight-board and my subscription is still awaiting approval so I would appreciate it if someone could forward this to the list. I apologize for my tardiness to this discussion.
I agree that we need to be very conservative with next year’s estimates. We need to also consider the impact of the possible loss of IMLS funds which will affect many libraries and consortia. 150 sounds reasonable. With LSTA concerns in mind, should we also reduce the projected income from sponsorships?

I too have concerns about the number. The conference has only ever hit the 200 mark once in its history. If we look at the average of the last 5 years, it's only 146 and that includes the unusually high Raleigh numbers.We did get a bump in Raleigh because there were so many attendees from NC there because there are so many libraries moving onto Evergreen or getting ready to move to Evergreen, but I'm not confident we'd get that bump anywhere else. I'd feel better if we planned low - maybe 140.

I've worked with Maegan Bragg of MOBIUS to produce the conference budget for the 2018 Evergreen International Conference in St. Charles, Missouri.
This budget projects 200 attendees because Debbie Luchenbill and Maegan feel fairly confident that given the conference's good location next year, we should be able to hit those numbers. They are projecting a net of over $20,000 so we could bring those attendee numbers down if you wanted us to be more conservative in our estimate.
Maegan used the 2017 Conference Budget and the 2016 Conference Budget as examples in putting together some of her numbers (ex - sponsorship counts, exhibitor counts).
MOBIUS will be providing their own projectors for the conference, which will help reduce the A/V costs.
After reviewing this budget (two documents), please refer all questions to me and I will check with Maegan and Debbie before responding.
Once you're satisfied, I am requesting that you vote on this budget (with possible revisions) via email as we still need to secure the venue, the St. Charles Convention Center, with the adjoining Embassy Suites.
