Scott,

Thanks for the question.

One thing I want to bring up for clarity's sake is that IRC is used for two separate things in our community, just like in other open source project communities. First of all it is used as an always-on communication channel, but as well as a platform to hold meetings. Since a good number of community members are already connecting and communicating on IRC, this makes it an easy choice to also have our meetings there. That way the community can read along when a meeting happens in real time, and no new software needs to be installed/used for access.

For me one of the biggest advantages of IRC is the fact that it is alway on, automatically logged, and free. Unlike other solutions designed specifically for meetings which in almost all cases have some or all of the following limitations: not free, has participant limits, must have at least one active meeting admin, and creates very large files for meeting recordings.

I have been part Evergreen related meetings that were held in some of the platforms that you mentioned. Though we made sure we took minutes to maintain openness, but to be honest once there are more than 5 participants it became hard to not interrupt each other. Also, we had to have at least a single person to fire up the meeting.

We are pleased to announce the release of Evergreen 2.10.3, a critical bugfix release.

* Evergreen 2.10.3 fixes a critical bug wherein a newly-registered patron record could not be used to log in to Evergreen using the password supplied during registration. Under some circumstances, the same bug could also prevent patron records that were modified via the patron registration form from being used to log in.
* Also, emails sent using the Action Trigger SendEmail reactor now always MIME-encode the From, To, Subject, Bcc, Cc, Reply-To, and Sender headers. As a consequence, non-ASCII character in those fields are more likely to be displayed correctly in email clients.

Please visit the downloads page [1] to retrieve the server software and staff clients. Due to the nature of the critical bug fixed in this release, we strongly recommend that users and testers of the 2.10.x series upgrade as soon as possible.

Thank you, everyone, for your responses. Regarding the cost of another solution, I am sure, if all of the larger consortia contributed, we could come up with something. Having said that, the other reasons everyone gave for using IRC are indeed compelling. Who hasn’t been burned by a Java download when trying to access an on-line meeting? I can’t say I am thrilled. I’d be happy if I never had to see another command prompt in any context and was disappointed that I missed the recent documentation meeting because I could not get IRC to work, but I will avail myself of any practice sessions, and I may yet learn to love IRC. This is all new to me.

I’ll chime in, too, as a relative newcomer -

IRC was completely new to me three years ago, but I found it easy to learn the more “advanced” ins-and-outs (because there’s really nothing to learn when all you want to do is ask a question) . I like being able to hop on using any browser or program I want, with nothing to install, anytime I’ve needed to.

Sadly, I cannot say the same for any of the fancier meeting platforms. Most webinars I’ve used on these platforms require 15 minutes at the beginning of the session to explain how to chat/alert/etc, and there is usually someone who can’t connect to one or more parts. I have found myself in those situations, and I consider myself quite tech-savvy.

I love the simplicity (and yes, antiquity) of the IRC interface! (And there are many other benefits, as already stated)

A couple of pro-IRC points to consider as well:
- conversations are publicly logged and web-searchable
- despite the apparent intimidation factor for new users (mitigated by sessions like Yamil so generously offers), it's a low point of entry
- can accommodate hundreds (or thousands) of users who can participate in real time, making meetings truly public (the most I've seen teleconferencing software accommodate is maybe 15, increasing costs for whoever is hosting the meeting)
I'm open to individual committees or the Evergreen Oversight Board occasionally using conference software for a more face-to-face feel, but I hope we will continue using IRC for most community business for the above reasons (and the ones Ben mentioned).

One reason we did not always like products like gotomeeting, etc. was cost. While community volunteers could grant access to their organizations resources, the community itself never decided to spend money on platforms. Freenode IRC is free to use.

Another reason is cross platform compatibility; some of us used Linux workstations and these did not always play nicely with those applications.

After this many years on IRC, it's second nature to me, but I also see the value considering alternative solutions if we can work through all the logistics and continue to keep barriers of access to a minimum.
