[Board] Virtual Evergreen Conference - donations and acknowledgements

Hi,

Following up on the board meeting last week, I realized that I had
misunderstood an aspect of the VCC's budgetary situation.

A total of four institutions had tentatively offered up their Zoom
subscriptions, with two having confirmed as of the moment.

What I missed is that the VCC would also like to acquire live captioning
services to increase the accessibility of the presentations. Cost estimates
have been obtained ranging from about $2,400 to $3,600 depending on the
exact length of programming and whether the captions are embedded in Zoom
or made available via a separate browser window.

Equinox is willing to sponsor the captioning (although we would not be
averse to a proposal for somebody to join us as a co-sponsor) and help with
wrangling the captioning staff.

The VCC has also had discussions about how to acknowledge donations of Zoom
rooms and captioning, with ideas including interstitial cards and
potentially asking presenters if they were comfortable making verbal
acknowledgements.

At any rate, I'm mentioning this to (a) give the board a complete picture
of what's been proposed in terms of donations, monetary outlay, and
sponsorship, (b) answer any questions and check that the the board is
amenable to this proposal and (c) request that the board give guidance on
appropriate acknowledgement of donated services given that the virtual
conference is a new event that is being put together with rather less lead
time than the typical Evergreen conference.
